Email Notifications


Users can be set up in our ShareFile system to be automatically notified when files are uploaded and downloaded into the account. There are several different ways to activate and manage notifications listed below.


1. Send a File and Request a File emails, and Send and Request emails from within a folder:

With both Send a File links and Request a File links there is an option to E-mail me when the file has been downloaded or E-mail me when the file has been uploaded that is checked off by default. When the user has uploaded or downloaded off the link, our system will send the notification.


2. Root-level folders and subfolders:

Users that have access to folders can also have email notifications activated when files are uploaded and downloaded to the account.

Users on a folder can edit their own upload notifications within the folder.

Note: Admin users on a folder will have the ability to set their own upload and download notifications in this section.

 

3. Proactive Notifications:

Employee users who have Allow this user to modify account-wide policies enabled will have the option to set an account-wide preference that allows users uploading to the system to notify other users in the folder.(See Managing Employee Permissions) This option provides a check box on the upload form that will notify all users within a folder whether or not the users in the folder have upload notifications set up. This option is available under the Admin link on the navigation bar and under Advanced Preferences. 


4. Consolidated Notifications:

Users can set how frequently they receive email notifications from our system under the My Settings link on the navigation bar. It will allow you to receive notifications in real-time, every 15 minutes, every hour, twice a day or once a day. This is available to all users with access to the My Settings link.

Once changes are made to notification frequency, the first e-mail notification will be triggered by any upload or download that takes place in a folder where the user has alerts enabled. Following the initial notification, consolidated notifications (which contain upload and download activity in a compiled format) will be sent out in set time intervals determined by the selection from the drop down menu shown below.

Note: You can change the default time interval for all new users created by clicking on the Admin link and Advanced Preferences (if you have access to manage account-wide policies).
